This is a full invoicing form, not a fill-in-the-blanks template. It handles deposits, part-payments, instalment plans, discounts, VAT or GST, and a separate call-out or delivery charge — the things most free invoice generators leave out.

Deposits, part-payments and instalment plans

Most free generators assume the invoice is paid once, in full. Trade work rarely goes that way: a deposit is taken up front, the balance falls due on completion, and larger jobs get split across several dates.

This tool handles all three. Enter any amount already received as a deposit and it is subtracted from the balance automatically. Set the payment status — unpaid, deposit received, partially paid, paid in full or overdue — and it prints as a stamp on the document, updating itself as you enter a deposit. For a larger job, switch on the instalment plan, set the upfront deposit, and build a schedule of dated payments that appears on the invoice so the customer knows exactly what is due and when.

A practical tip on deposits. If you take a deposit, show it as a separate line on the invoice rather than just reducing the total. The customer sees what they paid, what is left, and the date the balance is due — which is the single biggest reason invoices get paid on time.

VAT, GST and working in another currency

Over 160 currencies are supported, grouped by country so you can find yours quickly. Tax can be applied as a percentage or a fixed amount, and there is a switch for whether tax is calculated before or after the discount — the two produce different totals, and which one is correct depends on your jurisdiction and the type of discount.

Your tax or VAT registration number sits in your business details and prints on every document. If you are not registered, leave it blank and it simply does not appear.

What a valid invoice usually needs

Exact requirements vary by country, but almost every tax authority expects the same core information. The form asks for all of it:

  • The word "Invoice" and a unique invoice number
  • The issue date, and the due date or payment terms
  • Your business name, address and contact details
  • Your VAT, GST or tax registration number, if you have one
  • The client's name and address
  • A clear description of each item or service, with quantity and unit price
  • The subtotal, any discount, the tax charged, and the total due
  • How to pay — bank details, reference, or payment link

Your data stays on your device

There is no account, no upload and no server-side copy of your invoices. Your logo and everything you type stay in your browser. Saving a draft stores it locally on the device you are using, so you can close the tab and come back to it — but that also means a draft saved on your phone will not appear on your laptop. Download the PDF if you need the document somewhere else.

Questions people ask

Is this invoice generator really free, and do I need an account?

Yes, and no account is needed. There is no sign-up, no trial period, no watermark, and no limit on how many invoices you create. You do not have to give an email address to use it.

Where are my invoices and my client data stored?

On your own device. The form runs in your browser, so nothing is uploaded to a server, including your logo. Drafts are saved locally in the browser you are using and can be reloaded later on that same device.

Can I add a deposit or let a client pay in instalments?

Yes. Enter any amount already received and it is deducted from the balance due, with a payment status stamp on the document. For staged payments, switch on the instalment plan, set an upfront deposit, and build a schedule of dated payments that prints on the invoice.

What is a proforma invoice and when should I send one?

A proforma invoice is a formal quotation laid out like an invoice, sent before payment is made. It is commonly used to release funds from a finance department, to clear customs, or to get a purchase approved internally. It is not a request for payment and is normally not recorded in your accounts, so a real invoice still has to follow.

Can I invoice a client in a different currency from my own?

Yes. Pick any of the 160+ currencies at the top of the form and the symbol and formatting change throughout the document. Currency conversion is not applied, so enter the amounts in the currency you are billing in.

Can I add VAT, GST or sales tax?

Yes, as either a percentage or a fixed amount, and you can choose whether it is applied before or after the discount. Your VAT or tax registration number prints in your business details.

Can I charge for a call-out, delivery or travel?

Yes. There is a separate shipping and call-out field that sits below the line items, so a fixed call-out charge does not have to be buried in the item list or spread across your prices.

Can I choose my own invoice numbers?

Yes, the number is yours to set. Most businesses run a simple sequence such as INV-0001, INV-0002, and never reuse a number. You can also add a PO or reference number when the client needs one for their own records.

Can I change how the invoice looks?

There are three layouts — Modern, Minimal and Bold — plus an accent colour and your own logo, so the document matches the rest of your branding.

Can I email the invoice to the client from here?

Yes. Tick the option to send it to the client address you entered, or download the PDF and attach it to your own email if you would rather the message came from your inbox.

Does it work on a phone?

Yes. The form and the PDF download work on phones and tablets as well as on a desktop, which is useful when you want to invoice from the van before you drive to the next job.

Is an invoice created here legally valid?

The document includes the fields tax authorities normally expect, including a unique number, dates, both parties' details, itemised amounts and tax. Rules differ between countries, so check your local requirements — and this tool does not provide tax or legal advice.
